How do I report hours for a two-week pay period?

Sandtime.io reports have no two-week grouping, but a custom report with a 14-day date range gives you one pay period's hours per person and per day. It takes a minute to set up, and you can save it and reuse it every period.

Set up a report for one pay period

  1. Open Reports and choose Create new report. The new report opens straight away.
  2. Choose Edit.
  3. Open Date range, set Start date to the first day of the pay period and End date to its last day, 13 days later.
  4. Under Group by, add Member first and Year-Month-Day second.
  5. Pick the metrics you pay from, such as Reported time and Billable time.
  6. Choose Save.

Changes to the date range only become part of the report while you are editing it. Outside Edit, a new range updates what you see but is not saved.

Grouping by Member first gives each person their own block of fourteen days, with people in alphabetical order, which is the layout payroll usually works from. See Create and customize reports for everything else a report can hold.

Move the report to the next pay period

A date range you pick by hand is saved as it is, so the report keeps showing the same fourteen days until you change them. For the next period, open the report, choose Edit, set the new Start date and End date, and Save. To keep a copy of each closed period instead, use Save as and put the period's dates in the name.

Ranges such as Last week or This month move forward on their own, so weekly and monthly payroll reports need no editing. The two-week cycle is the one that needs new dates each time.

Export the period for payroll

Choose Export to Excel or Export to CSV under the report, as described in Print or export itemized reports. If your team fills in weekly timesheets, the two weeks of a pay period can also be exported one week at a time from Timesheets.

Lock the weeks once they are paid

After payroll runs, lock the timesheets for both weeks so the paid hours cannot change afterward. With Auto-locking timesheets on, past weeks lock without anyone having to remember.
